The bulk import feature allows HR to upload large volumes of employee profile information into the system at once, saving time and ensuring data consistency. The employee data should be prepared in the prescribed Excel template before uploading.
TO BULK IMPORT EMPLOYEE DATA:
- Navigate to Admin → Import / Export, and click Import Employee Details.

Note: Before uploading the file, ensure you have read and followed the instructions for employee details upload provided on the Import Employee Details page in the PMS. |
Step 1:
- NEW JOINERS CREATIONS:
Download the Employee Template Excel file and populate it with valid employee data. Ensure all mandatory fields are filled. the Date of Relieving column can be removed. Review the profile details and remove any unnecessary columns. Set the Status column to TRUE for employees being added to the system. Save the file.
- EMPLOYEE PROFILE UPDATION:
Download the Employee Template Excel file and populate it with the employee details that require updating. Remove any columns that are not needed—for example, if you are updating only the designation, keep just that column and delete the others. Ensure all mandatory fields are filled. the Date of Relieving column can be removed.
Set the Status column to TRUE for employees being added to the system. Save the file.

Step 2:
- Click Choose File next to Upload Employee Data, select the updated Excel file, and click Open. The system will validate the uploaded data.
- (Optional) To upload employee photos, click Choose File next to Upload Employee Pictures File, select the ZIP file containing images, and click Open.
- After validation, the system displays the total successfully validated records and any errors. Download the error file, correct issues in the main file, and re-upload if necessary.

Step 3:
Select one of the following upload options:
Create & Update – Update existing records and create new employee records.
Update Only – Update existing employee records only; new records are ignored.
Create Only – Create new employee records only.
Slide Enable Notification to ON to send account activation emails with Synergita login credentials to successfully uploaded employees. Ensure the respective notification is enabled.
- Click Start to complete the upload.
This process ensures accurate, efficient, and bulk management of employee data in Synergita.
