In Synergita, HR administrators can deactivate multiple employee profiles at once using the Bulk Deactivation feature. This helps efficiently manage employee records during events such as exits, long-term leaves, or organizational changes.
By performing a bulk deactivation, you can ensure that inactive employees no longer appear in active lists or receive system notifications, while still retaining their historical data for reference and reporting.
The steps to bulk deactivate employee are as follows.
Navigate to Admin → Import/Export, and click Import Employee Details.



Step 1 :
Download the Employee Template Excel file from the PMS.
Populate the Excel file with valid data. The mandatory fields are marked in bold—please ensure all required information is entered accurately.
The required fields for deactivation are marked in bold for your reference. Delete any unnecessary columns and have only the provided columns (sample).
To deactivate an employee, enter the "Relieving Date" (Date Format should be - DD-MMM-YYYY) and set the status to "False" in the employee template along with the required details. Save the details.

Step 2:
Click Choose File next to choose import Template Data to browse and select the updated Excel file from your system, click Open and click Import & Validate.
The system will automatically validate the uploaded employee relationship data.Once the import and validation are complete, the results will display:
The total number of successfully validated records, and
The total number of error records.
You can download the error file, correct the issues in the Excel sheet, and re-upload the file for validation again
Step 3:
As a final step, select “Update Only” and click Start to upload the data.The employees will be deactivated from the PMS.
