  • Is there a specific period during which a PIP can be initiated for an employee?


In Synergita, a PIP can be initiated at any time based on the employee’s performance. There is no specific period or performance cycle restriction for starting a PIP. Whenever a performance concern is identified, managers can initiate the PIP immediately and support the employee without having to wait for formal review cycles.


  • How can we create a template for PIP in the system?

  • Do we need to configure a separate workflow specifically for PIP?


Synergita already provides a built-in PIP plan with a standard workflow, so there is no need to create a separate process module if the PIP feature is enabled for your organization. This allows you to initiate a PIP at any time without additional configuration.

  • Who is allowed to provide feedback in the PIP process?

 

Only users who have access permissions to the PIP plan can provide feedback during the process. In most cases, the employee (self) and the manager are the primary contributors, as they are directly involved in the employee’s performance discussions. Depending on your organization’s setup, HR or other designated roles may also be included if required.


  • Who has the access to initiate a PIP?


Only users who have the appropriate access permissions for the PIP plan will be able to initiate a PIP in Synergita. In most cases, HR and the employee’s manager are the ones who initiate the PIP, based on performance observations and organizational guidelines.


  • Who is responsible for acknowledging the PIP?


Only users who have the required access to acknowledge the PIP will be able to do so in the system. In most cases, the employee is responsible for acknowledging the PIP that has been initiated by their manager or HR, confirming that they have reviewed and understood the plan.


  • Can we delete a dummy PIP created in the PMS from the frontend?


Yes, the dummy PIP created can be deleted from the front end using the delete option.


  • Are there PIP notifications triggered to the employees?


Yes. Synergita provides a set of PIP-related notifications that can be enabled to keep employees informed throughout the process. These notifications can be found under:


Admin > Admin > Notification > Performance

  • Will the PIP ratings be available under the performance appraisal plan?


The completed PIP review can be viewed under the Manage PIP section within the Performance Appraisal Plan. This allows HR and managers to easily track the outcome of the PIP and maintain a clear record of the employee’s performance improvement journey.


  • Who has the access to the PIP configuration page?


The HR Admin has full access to the PIP configuration page in the PMS. They can set up, manage, and customize the PIP module based on the organization’s requirements.


  • Can we create a separate rating scale exclusively for PIP? 


Yes. You can set up a separate rating scale specifically for the PIP process. If you need assistance with configuring this, please reach out to us at support@synergita.com, and our team will guide you through the setup steps. 


  • Does the manager have the access to change the reviewers for PIP?


No. Once the PIP has been initiated, the manager or any other relationship role cannot change the reviewers for the PIP. Reviewer assignments remain fixed before the process begins to ensure consistency and transparency throughout the process.


  • Does the employee have the access to end the PIP?


No. Employees cannot end the PIP. The PIP can only be closed or completed by the PIP owners, which are typically the manager or HR Admin, depending on the organization’s setup and requirements. This ensures that the process is monitored and concluded in a structured manner.
