As an HR Administrator, the Manage Users page empowers you to perform various administrative functions such as:

  • Setting default passwords

  • Resetting user passwords

  • Enforcing password resets

  • Locking and unlocking user accounts


This article outlines the steps to perform these actions in bulk.


1. Navigate to Manage Users

  • Log in to the system with your HR Administrator credentials.


  • Navigate to Admin > Users & Password Management (under User Management)




 


You will be directed to the Search View, which lists all existing users in the system.


2. Import Users for Bulk Actions


To efficiently filter and perform actions on multiple users:


  • Click Add File next to Import employee to be filtered




Note: It is highly recommended to use the Default Template, which contains the required formatting and headers. Uploads will fail if mandatory fields like Email ID are missing or the structure is incorrect.


  • Download the Default Template (Excel).


  • Fill in the required user data. Ensure that each entry includes a valid Email ID.


  • Click Choose File to upload the completed template.


  • Click Validate to check for data format and integrity.




  • Click Apply. Once validated, only the users matching your upload will be displayed in the User Management List.




3. Select Users for Action

  • To select all users: check the Select All box in the first column.


  • To select specific users: individually check the desired user entries.


Once selected, go to the Action menu and choose the required operation.


4. Available Bulk User Actions

a. Reset Password


To reset the password for selected users:


  • Click Reset Password from the Action menu.


  • A confirmation message “Password has been reset.” will appear.



The system will email a one-time password reset link to the users’ registered email addresses. Users must use the link to create a new password before their next login.


b. Set Default Password


To assign a standard default password format:


  • Select the users.


  • Click Set Default Password from the Action menu.


  • A message “Password Updated Successfully.” will confirm the change.




Default Password Format:


First 3 characters of First Name + @ + Date of Joining (ddMMMyyyy)


Example: For "Abubakar" who joined on 14-Oct-2019 → Abu@14Oct2019


c. Enforce Password Reset


To force a password change on next login:


  • Select the user(s).


  • Click Force Password Reset from the Action menu.


  • The system will display: “Password change has been forced.


 


An email notification will be sent to users prompting them to reset their password before the next login.
