During the process cycle validation, HR may encounter a message stating “Template Not Available" validation status under the second step of the process cycle. This message indicates that the system is unable to identify or link a valid appraisal template for the respective user.


Possible Reasons:


1. Employee Profile Details Not Mapped Properly


The employee may not be mapped with the required Profile Details as per the Feedback Form Mapping Logic.


As a first step, ensure that the employee’s profile details (such as Grade, Level, Department, or Designation) are accurately mapped in accordance with the feedback form mapping logic.



2. No master Template Available:


The feedback form may not have been created or made available for the employees.



3. Master template mapped with an incorrect mapping logic/combination:


Incorrect filters or mapping details might have been applied in the master template. To review and correct the mapping:


  • Navigate to Admin > Most Popular Configuration > Feedback Forms/ Template > Search for the Template

 

  • Click the 3 dots available in the right corner to select "Edit".


  • Review and update the mapped filters based on the Mapping Logic.


  • Ensure that only the relevant mapping criteria are selected.

 


Eg:  If the Work Role is the mapping logic, then only the corresponding Work Role should be selected in the template filter.



After applying the necessary changes, save and publish the template once again.


4. Template created/available but not published:


In some cases, the master template may have been created but not published. This causes the system to display the “Template Not Available” message during process cycle validation (Step 2).


As an HR administrator, ensure that all templates are properly published after creation - How to publish feedback forms?


The “Template Not Available” message typically occurs due to missing or incorrect template mappings, unpublished templates, or unmapped employee profiles. Verifying employee profile details, ensuring valid template mapping logic, and confirming the publication status of templates will resolve this issue.
